Frequently Asked Questions
Is a nanny the right fit for your family?
A nanny may be the right fit for your family if you’re looking for personalized, consistent care that adapts to your child’s needs and your family’s schedule. Whether you’re balancing demanding work hours, welcoming a new baby, or simply want more one-on-one attention than daycare can provide, a nanny offers the flexibility, reliability, and peace of mind that comes from having dedicated support within your own home.
How do I pay my nanny?
Nannies are paid directly by the family, and it’s important to handle payment properly to ensure compliance, transparency, and peace of mind for everyone involved. Families are responsible for managing payroll, taxes, and any applicable withholdings — we always recommend using a trusted nanny payroll service to make things simple and accurate.
Popular options include HomePay by Care.com, GTM (GTM Payroll Services), and Poppins Payroll, all of which specialize in household employment and can help set up direct deposit, manage tax filings, and generate pay stubs.
How long does the process take from sourcing to hiring?
In general, the end-to-end process takes about 6 weeks. While the overall timeline is dependent on multiple factors, here is a general outline we anticipate after the initial consultation is complete and we receive the sourcing fee/signed agreement.
- Week 1: Officially list job posting and socialize to our internal network.
- Weeks 2-3: Review applicants, conduct screening interviews and narrow down applicants to top candidates.
- Weeks 4-5: Schedule final round interviews for families and top candidates. Draft nanny contracts/offers of employment and conduct background check.
- Week 6: Extend an offer of employment on behalf of the family and facilitate contract signing.
Who employs my Nanny?
All nannies referred through Our Village Nanny Agency are employees of the family, not of the agency. Families are responsible for managing payroll, taxes, and day-to-day employment matters directly.
Our Village Nanny Agency operates solely as a referral and matchmaking service, connecting families with qualified, thoroughly vetted caregivers. While we take great care in our screening process, we are not liable for the actions or conduct of any referred nanny.
If a placement does not work out within the first 30 days, we are happy to provide one additional round of sourcing at no extra charge.
What do great nannies look for in a family?
The best nannies are drawn to families who see them as true partners — not just employees. When caregivers feel welcomed, trusted, and included in the rhythm of your home, they bring genuine warmth and commitment to their work. Small gestures of appreciation and open communication go a long way in showing respect for the hard work, patience, and care they provide every day.
At Our Village Nanny Agency, we help families think through what makes their household unique and how to highlight that when hiring. From creating a positive, supportive atmosphere to offering fair pay and reliability, we’ll help you attract — and keep — the kind of nanny who will feel like part of your family.
What costs does the Nanny incur?
There are no costs to nannies — at Our Village Nanny Agency, we believe caregivers deserve support, not fees. In addition to connecting you with great families, we also help you navigate your employment contract, payment structure, and any additional benefits to ensure you feel informed, valued, and set up for success in your new role.
What costs do the Families incur?
To begin the search, there is a one-time $200 sourcing fee due when signing the sourcing agreement. This allows us to start curating and screening candidates tailored to your family’s needs. Once you’ve selected your nanny a $1,000 referral fee is due upon offer of employment.
These fees cover the time, care, and expertise that go into matching your family with trusted, thoroughly vetted candidates — ensuring the process feels smooth, personal, and supported from start to finish.
How are candidates vetted?
At Our Village Nanny Agency, every candidate goes through a careful and comprehensive screening process designed to give families peace of mind. We conduct background checks, validate references and education, and complete detailed screening interviews to ensure each nanny is professional, experienced, and aligned with your family’s values.
Our goal is to recommend only those caregivers we’d feel confident welcoming into our own homes — because trust, safety, and genuine care are at the heart of what we do.
